Poster Presentation Guidelines

A Poster Presentation is a graphic representation of your SBCC research or program. You will illustrate your findings by displaying graphs, photos, diagrams and a small amount of text. The posters will be displayed in the Summit Poster Plaza. The 2022 Summit posters will be displayed digitally. 

You will be assigned a day to stand with your poster to present your findings and answer questions. The posters will be available for viewing during the morning and afternoon breaks as well as lunch. On the day of your poster presentation, please bring your USB device with your poster to the Plaza at the Palais des Congrès by 8:00 a.m. for the morning session, and 30 minutes before the start of the afternoon tea break for the afternoon session. A schedule of presentation times will be posted on the Summit website. Presenters will be notified when the schedule is available.

Please remember that all posters must be:

  • Designed vertically, 9:16 (we suggest using a widescreen PPT in portrait mode)
  • The digital screen size is 43”, resolution is 2160 by 3840 ​
  • Saved as a PDF
  • Uploaded to an external USB storage device

Other Guidelines

  • There will be approximately 50 poster scheduled each day (25 in the morning session and 25 in the afternoon session). You must remain by your poster for the duration of the 45-minute session.
  • You can bring handouts.
  • If you have them, bring business cards in case a viewer is interested in more information. Otherwise, be sure you have your contact displayed clearly on your poster.

Poster Development Tips

  • Summit organizers have put together this guidance document to assist in the design of your poster (PDF version | PPT version | Google Slides version). We suggest the “Better Poster” design format for your posters.
  • Materials should include the title of the presentation and list of authors. Prepare a headline that is reflective of your research or program. Include your co-authors and affiliations (institution/organization) under the header for identification.
  • Your poster should present the information clearly and simply in a visually appealing way. Be careful not to overload it. Please use a consistent style/sequence (left to right or top to bottom) to guide the viewer through the poster.
  • You may use figures, tables, graphs and/or photographs where suitable. Keep the text brief and to the point. All the material on the poster should be legible from a distance of about 10 to 15 feet.
  • Avoid using short forms, abbreviations, acronyms and/or jargon. Make sure the font is consistent throughout. Avoid use of fancy fonts. Use upper and lowercase letters. Sans serif fonts such as Veranda are much easier to read than serif fonts.
  • Printed papers and materials for your presentation should be sent ahead to your hotel, addressed to your attention and labeled “Hold for Arrival” or brought with you. Do not send any materials directly to the Palais des Congrès.

Schedule

Monday: 1:45 p.m. set up; poster presentation from 3:15-4:00 p.m. Be sure to bring your poster file on a separate drive. You are responsible for adding your poster file to the screen via a drive before your poster session.

Tuesday, Wednesday and Thursday

Morning session: 9 a.m. set up; poster presentation from 10:30-11:15 a.m.
Afternoon session: 2 p.m. set up; poster presentation from 3:30-4:15 p.m.

Friday: No poster sessions

Speakers who fail to show up for their scheduled presentations without previously notifying the program planner of cancellation (via info@sbccsummit.org) will not be permitted to present papers or posters at the next International SBCC Summit.
